Chamber Music Tulsa is seeking a highly organized “people” person to help us manage logistics during concert weekends. Part of Chamber Music Tulsa’s culture is to ensure that our guest artists have a great experience on our series and during their visit to Tulsa. We want them to feel supported, welcome, and happy. Our ultimate goal is for our patrons and ticket buyers to experience an exceptional concert performance. By taking good care of our artists, we help set the stage for that to happen.
This is a contracted position and is under the purview of the Executive Director. The contractor will work closely with the Manager of Customer/Donor Relations.
Specific Duties and Responsibilities being contracted for:
The Contractor refines the concert weekend work plan and makes sure it is comprehensive and duties are clearly delineated.
The Contractor prepares lists of Friday and Saturday concert patrons and prepares name-tags for guests.
The Contractor assists the hospitality committee in preparing for the evening concerts and setting up the venue.
The Contractor arranges for transportation as needed for artists.
Based on the contractual obligations with the artists, the Contractor makes sure dressing and green room areas are prepped and stocked with desired items such as food and drink.
The Contractor makes required arrangements for rehearsals, meets the artists at the venue, and makes sure everything is ready.
The Contractor manages the lobby spaces on behalf of CMT, works with the house management at the PAC, remains at the venue throughout performances, and assists with final cleanup at the conclusion of the concerts.
The Contractor handles the sale of Artist’s CDs during concerts.
The Contractor arranges for page turner for concerts with pianists, and double checks arrangements for piano rental and tuner for concerts involving a piano that are not held at the PAC.
The Contractor will have experience and demonstrated success at providing customers and guests an excellent experience and be committed to making our guest artists and ticket buyers happy.
The Contractor will be good at and enjoy solving problems.
The Contractor will have related experience and demonstrated success in managing event logistics.
The Contractor will be a team-player.
15 to 20 hours per concert weekend is an approximate estimate of hours.
The Contractor will need to be available for some prep work in the office during the week of the concert and then the entire concert weekend.
There are 16 concerts in total over 6 concert weekends (see below).
There is the additional possibility of contracting for logistics management during a community residency week with the Kenari Saxophone Quartet, January 22-28, 2019.
